The MIABC is looking for an energetic, motivated, and career-minded Office Services Coordinator. The MIABC is a member-owned non-profit insurance reciprocal that provides liability coverage to over 168 local governments in British Columbia, and property and ancillary coverage to over half of our members. 

Responsibilities include:
  • Answering and directing incoming telephone calls, general inquiry emails, faxes and greeting visitors.
  • Sorting, directing, and posting incoming and outgoing mail and deliveries. Arranging courier deliveries.
  • Assisting various departments with special projects by providing administrative support including research, data entry, mass mailings, document production and other tasks as needed.
  • Coordinating and plans regularly scheduled staff and member events including quarterly Board meetings and Annual General Meeting.
  • Assisting with planning and coordinating various ad-hoc events as needed.
  • Coordinating sponsorship and speaking opportunities at various conferences.
  • Ordering and maintaining an inventory of promotional items.
  • Assisting with planning various internal events, activities and training sessions.
  • Updating and maintaining the organization’s Intranet.
  • Supporting the Leadership team with various Human Resources tasks as needed.
  • Proofreading, designing and producing various publications including quarterly newsletters, the Annual Report, etc.
  • Ensuring that all communication, publications, presentations, and marketing material align with organizational brand standards.
  • Coordinating new member contact orientations.
  • Coordinating virtual webinars and workshops.
  • Participating in the MIABC’s annual Risk Management Conference.
  • Helping with other Member Services activities on an as-needed basis.
Preferred qualifications include:
  • 3 to 5 years administrative experience.
  • Experience planning and facilitating events.
  • Excellent interpersonal, oral and written communication skills.
  • Superior organizational skills.
  • Good problem solving and negotiation skills.
  • Time management skills.  Ability to prioritize and manage multiple simultaneous projects and deadlines.
  • Excellent attention to detail and accuracy.
  • Expertise with Microsoft Office 365 programs (Outlook, Word, Excel and PowerPoint.)
  • Experience with Adobe InDesign or other graphic design software is an asset.
  • Experience with HubSpot or a similar CRM platform is an asset.

Status:

Permanent full-time (in-office)

Pay Range:

$54,000 to $67,500
